8. Payment & Subscription Terms
Current Service: The Service is currently free during beta testing.
Future Pricing: We reserve the right to introduce paid subscription tiers. If we do:
- Existing users will receive 30 days' notice before any charges
- You may cancel before charges take effect
- Pricing will be displayed clearly on the website
- All prices are in GBP (£) and include UK VAT where applicable
9. Data Retention & Deletion
Default Retention: Incident data is retained for 365 days (1 year) by default.
Your Rights:
- Delete Anytime: Request deletion of your data at any time
- Extended Retention: Request longer retention for active legal proceedings
- Backup Deletion: Deleted data removed from backups within 90 days

10. Intellectual Property
Your Content: You retain all rights to the photos, videos, recordings, and information you upload.
License to Us: By uploading content, you grant us a limited license to:
- Store your content on our servers (Supabase)
- Process content through AI services (OpenAI) for transcription and analysis
- Include content in your generated PDF reports
- Use anonymized, aggregated data for service improvement (with your consent)
Our Content: The Service interface, code, branding, and AI analysis algorithms are our intellectual property. You may not copy, modify, or reverse engineer them.
11. Third-Party Services
We use trusted third-party services to provide functionality:
- OpenAI: AI transcription and analysis (USA-based, GDPR-compliant)
- Supabase: Data storage and authentication (EU region available)
- what3words: Location services (UK-based)
- Adobe PDF Services: PDF generation and form filling
Use of these services is subject to their respective terms and privacy policies. We are not responsible for third-party service outages or data breaches.
12. Service Availability
No Uptime Guarantee: We strive for reliable service but do not guarantee 100% uptime.
- Scheduled maintenance may cause temporary service interruptions
- Third-party service outages may affect functionality
- We are not liable for lost data or missed opportunities due to service unavailability
- Critical incidents will be communicated via email
Emergency Services: This Service is NOT a replacement for emergency services. In life-threatening situations, always call 999 immediately.
13. Limitation of Liability
